Rentive ("we", "us", "our") operates a two-sided rental marketplace. This Privacy Policy explains how we collect, use, share, and protect your personal information when you use our Service.

1. Information We Collect

Account Information

When you create an account, we collect your name, email address, and authentication credentials through our authentication provider (Clerk). You may also sign in with third-party providers such as Google, which share basic profile information with us.

Profile Information

Depending on your role, you may provide additional information:

Renters: budget range, preferred cities and neighbourhoods, move-in date, number of bedrooms and bathrooms, pet ownership, employment status, income range, credit score range, rental history, references, biographical details, preferred features, and photos of your current living space.

Landlords: company name, property listings (address, rent amount, bedrooms, bathrooms, amenities, photos, geographic coordinates), and billing information for paid subscriptions.

Usage Information

We automatically collect information about how you interact with the Service, including your last active timestamp, offer response rate, average response time, pages visited, and actions taken (such as sending offers, accepting offers, or expressing interest in properties).

Photos and Images

Photos you upload (profile photos, living space images, and property images) are stored through our image hosting provider (Cloudinary). These images are accessible to other users as part of the marketplace.

2. How We Use Your Information

We use the information we collect to:

Operate the marketplace, including matching renters with landlords based on compatibility scoring (budget, location, preferences, and other profile attributes).

Display your profile to relevant users. Renter profiles are visible to landlords browsing the catalog; property listings are visible to renters searching for homes.

•

Facilitate offers, messaging, and notifications between renters and landlords.

•

Calculate and display activity metrics (last active, response rate, response time) to help both sides assess engagement.

•

Process payments and manage subscriptions for landlord accounts.

•

Send transactional emails, including offer notifications, expiry warnings, and inactivity reminders.

•

Improve, maintain, and protect the Service.

3. Information Sharing

We do not sell your personal information. We share information in the following circumstances:

With Other Users

As a marketplace, certain profile information is shared between renters and landlords. Renter profiles (including preferences, budget, activity metrics, and photos) are visible to landlords who subscribe to the catalog. Property listings are visible to renters. Once an offer is accepted, both parties may communicate through the platform.

With Service Providers

We use trusted third-party services to operate the platform:

Clerk (authentication): email, name, sign-in credentials.

•

Stripe (payment processing): billing details. Card information is handled by Stripe directly and never stored on our servers.

•

Cloudinary (image hosting): uploaded photos.

•

Vercel (application hosting): request logs, IP addresses.

•

Mapbox (geocoding): city search queries.

•

Resend (email delivery): email address, notification content.

•

Railway (database hosting): all stored application data.

As Required by Law

We may disclose your information if required to do so by law, or in response to valid legal requests such as subpoenas, court orders, or government regulations.

4. Data Retention

We retain your personal information for as long as your account is active or as needed to provide the Service. Specifically:

Active account data is retained for the duration of your account.

•

Renter accounts that are inactive for 23 to 30 days may receive an inactivity warning. Profiles that remain inactive for extended periods may be hidden from the catalog.

Expired offers are retained for record-keeping purposes but are no longer actionable.

•

Upon account deletion, we will remove your personal data within a reasonable timeframe, except where retention is required by law or for legitimate business purposes (such as fraud prevention).

5. Your Rights

Depending on your jurisdiction, you may have the following rights regarding your personal information:

Access: Request a copy of the personal information we hold about you.

Correction: Request correction of inaccurate or incomplete information. You can update most profile information directly through the Service.

Deletion: Request deletion of your account and associated personal data.

•

Data Portability: Request a copy of your data in a structured, commonly used format.

Objection: Object to certain processing of your personal information.

6. Cookies and Tracking

The Service uses cookies that are essential to its operation:

Authentication cookies: Managed by Clerk to maintain your signed-in session.

Preference cookies: Used to store your display preferences (such as colour scheme).

We do not use third-party advertising cookies or tracking pixels. We do not sell your browsing data to advertisers or data brokers.

7. Security

We take reasonable measures to protect your personal information, including:

Secure authentication through Clerk with support for multi-factor authentication.

•

Payment processing through Stripe, which is PCI DSS compliant. We never store your payment card details on our servers.

•

Encrypted data transmission via HTTPS across all endpoints.

•

Role-based access controls ensuring users can only access data appropriate to their role.

No method of transmission or storage is completely secure. While we strive to protect your information, we cannot guarantee absolute security.

8. Children's Privacy

The Service is not directed at individuals under the age of 18. We do not knowingly collect personal information from children. If we become aware that we have collected personal information from a child under 18, we will take steps to delete that information promptly. If you believe a child has provided us with personal information, please contact us at support@rentive.dev.

9. Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our practices or applicable law. Material changes will be communicated through the Service or via email. The "Effective date" at the top of this page indicates when this policy was last updated.
